GENERAL DESCRIPTION:
Responsible for monitoring and enforcing the Department of Children & Families (DCF) Competency Exams according to guidelines set forth in the Proctor’s Guide For Child Care Training Exams including completing all the necessary paperwork.
ESSENTIAL JOB FUNCTIONS:
- Pick up exam materials from Training Coordinating Agency (TCA)/Training Exam Assistant in accordance with the Proctor’s Guide. Accurately completes the Exam Inventory Checklist when picking up exam materials. Verifies all materials upon pick-up including exam type, roster, name cards, site, and exam date.
- Ensures the security of the exam materials from the time they are picked up from the TCA/Training Exam Assistant until the return of all materials to the TCA/Training Exam Assistant.
- Arrives to exam site at the scheduled time prior to when the exam begins. Transports exam materials to exam site within this time frame to ensure exam starts in a timely manner. Inspects exam site. Sets-up exam site as outlined with assistance from the scheduled Proctors.
- Verifies all students’ photo ID and verifies the student’s name against the exam roster.
- Advise all walk-ins and late arrivals to call the Exam Scheduling Center to reschedule another exam session and/or to call the TCA/Training Exam Assistant.
- Distributes exam materials to students at the exam site including the name tent, bubble sheet, and exam with assistance from the scheduled Proctors.
- Ensures students are properly seated with the correct name tent and exam and verified this against the roster.
- Verifies that the Proctor to Student ratio is 1:20.
- Reads DCF exam instructions to students on how to use the testing materials, completing the required information on the bubble sheet, and any other instructions pertinent to exam session prior to the start of any exam.
- Ensures each exam is allotted the appropriate time per Proctor’s Guide.
- Completes all exam related paperwork for each exam session. Ensures payments are properly received and returned to the Training Exam Assistant.
- Monitors exam payments (money orders) and issues receipt to students at the exam site.
- Documents and reports any incidents at exam site to supervisor utilizing the Irregularity Report. Submits to Training Exam Assistant in a timely manner.
- Monitors assigned proctors to ensure exam procedures are adhered to.
- Collects and secures exams and materials from students.
- Returns confidential paperwork to the Training Coordinating Agency within two (2) business days to Training Exam Assistant. Completes the Exam Inventory Checklist when returning the exam and materials.
- Attends all mandatory proctor meetings.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS AND ABILITIES: - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar in order to communicate effectively with exam students and others.
- Knowledge of office practices and procedures.
- Ability to demonstrate excellent customer service skills.
- Ability to multi-task and oversee exam site.
- Ability to gain knowledge of “Proctor’s Guide for Child Care Training Exams.”
- Excellent oral and written communication skills.
- Ability to direct exam takers and to monitor the testing process.
- Ability to maintain confidentiality.
- Ability to work independently and be self-motivated to achieve goal.
- Ability to give verbal instructions in front of a large group of people.
- Ability to monitor other individuals to ensure that accurate procedures are followed by exam takers and proctors and to take corrective actions, if necessary.
- Ability to remain flexible in changing environment.
- Ability to work and communicate with people from various multi-cultural backgrounds and socio-economic levels
- Sensitivity to the needs, abilities, beliefs, and attitudes of individuals within and outside the Agency, including but not limited to customers and co-workers.
EDUCATION AND EXPERIENCE:
- Graduation from an accredited high school or appropriate equivalent diploma (GED).
- Experience working with confidential information/materials.
- Monitoring experience preferred.
- Experience in any kind of instructional activity preferred.
- Supervisory or lead experience preferred.
LICENSES, CERTIFICATIONS OR REGISTRATIONS:
- Possession of a current valid Florida Driver’s License, and a daily access to reliable transportation to and from work and for travel to off-site locations.
- Must meet criteria for background screening as required for contractors who perform work on Florida Public School property
